How to change details for a contact

From time to time, contact's details may change. This could be that they have updated their email address, changed their job title, or we have further information that we didn't have previously. This guide helps to understand how to change them.

N.B These steps can also be completed on the contact record page but will be shown on the Contact page. If you are on the Contact page, skip to step 2 in any of the guides.

 

 

Change a contact's name

  1. Search for the contact you wish to update. Then hover over the name and press 'Preview'.
  2. Hover over the contact's name until you see a pencil icon to the right-hand side. Press the pencil icon. Edit contact details
  3. A dialogue box will appear where you can change the contact's First Name and/or Last Name. Make the required changes and press 'Save'.  name and job title dialogue box

 

Change/add a contact's job title

  1. Search for the contact you wish to update. Then hover over the name and press 'Preview'.
  2. Hover over the contact's name or job title until you see a pencil icon to the right-hand side. Press the pencil icon. Edit contact details
  3. A dialogue box will appear where you can change the contact's Job Title. Make the required changes and press 'Save'. name and job title dialogue box

 

Change a contact's email address

Never replace an email address by typing out the new email in the original box. This will impact automatic workflows in the background.

  1. Search for the contact you wish to update. Then hover over the name and press 'Preview'.
  2. Click on the 'Email' property. Do not use Email 2. ALWAYS use Email.
  3. An Edit email dialogue box will then appear. Start by clicking 'Add email' and typing the email address into the box. Then press 'Save'. email edit box
  4. There are additional steps depending on the reason for adding an email address:
    1. If you are replacing a contact's email address:
      1. Once you have added the address, choose 'Make primary'.
      2. When the email address has become the primary, identify the original email address and choose 'Delete'.
    2. If you are adding an additional email address and assigning this as their primary email address:
      1. once you have added the address, choose 'Make primary'
    3. If this is to add a contact's first email address, you do not need to do anything else.
    4. If you are adding an additional email address, you do not need to do anything else.

 

Change/add a contact's phone number

  1. Search for the contact you wish to update. Then hover over the name and press 'Preview'.
  2. Click on the 'Phone number' property.
  3. An Edit phone number dialogue box will then appear. Type the contact's number into the box.
    1. If the number is a UK number, remove the first '0' from the number. For example, 0161 785 5083 would be entered as 161 785 5083.
    2. If the number is an international number, use the drop-down selector on the left to identify the country and then type the number.
  4. If the contact has an extension number, you can type this into the Extension box.
  5. Press 'Save' edit phone number box

 

Add a contact's TRN

  1. Search for the contact you wish to update. Then hover over the name and press 'Preview'.
  2. In the TRN box, type in the contact's TRN. TRN
  3. Click a blank space on the screen to trigger HubSpot to save the change.
  4. You will see a green box in the bottom left of your HubSpot window letting you know the changes have been saved. TRN changes saved

 

Change/add further details that don't appear in the preview pane

Not all contact properties show in the preview window. However there are plenty of properties you may need to update, and these can be accessed easily.

  1. Search for the contact you wish to update. Then hover over the name and press 'Preview'.
  2. On the right-hand side, above the contact's name, press 'Actions' and then press 'View all properties'. view all properties
  3. A window will appear with a list of All Properties.
  4. If there is a particular property you would like to update, use the search bar at the top of the window and this will leave you with only the property you require.
  5. Make the change you require to the property and then click a blank space on the screen to trigger HubSpot to save the change. Property search
  6. You will see a green box in the bottom left of your HubSpot window letting you know the changes have been saved. Property changed
  7. If you have additional properties you need to change, repeat steps 4 - 6.
  8. Once finished, press the 'X' in the right-hand corner of the All Properties window.
